Legal Workflow to support Road Enforcement Service Provider Contract
Introduction
Pierse & Fitzgibbon Solicitors not alone provides a comprehensive range of legal services to businesses nationwide , but it is the leader in debt recovery and enforcement legal services. A robust legal enforcement system that could accommodate large volume processing was required. A workflow solution and associated infrastructure was required. Action Point delivered both the software and the hardware aspects of the this solution. This case study covers only the software aspect.
Key Challenges:
Pierse & Fitzgibbon Solicitors required a case management solution that was capable of processing large volumes complete with the supporting documentation and images. The system had a number of key requirements :
- A comprehensive highly automated legal workflow.
- Stringent accountability to satisfy legal process.
- Full accounting system to track individual case balances, including automated bank reconciliation.
- Credit card processing for both the general public and telephone operators.
- Secure role based controls for internal staff and external users, all with differing levels of system access.
- Scalability to allow the system to grow at a huge rate per day.
- High availability requirements to support a team of ten telephone operators who answer queries from the general public.
- Large scale mail merge support to allow for mail merging of hundreds of thousands of documents.
- Automated document importing using barcode recognition to associate scanned images to the relevant case.
- Automatic progression of cases through the workflow as their statuses change due to time elapsed, updated information or electronic input from 3rd party service providers.
- Extensive reporting capabilities to enable tracking of KPIs both internally and for their client.
Challenge: Short Notice
There was estimated to be more than 6 man months of work associated with this project, and Action Point were offered a mere 7 weeks to deliver this fully functional solution due to tight Pierse & Fitzgibbon client requirements. Using industry contacts with relevant expertise along with our Project Management experience, we were able to scale the software team upwards within one week. Action Point were very careful in the architecture of the system to ensure that each group of developers clearly understood their function and that the entire group were working towards a common goal.

Action Point over-delivered on this project and ensured that Pierse & Fitzgibbon Solicitors satisfied all of the stringent requirements of the Tender.
